Learning Group Policies

Conduct of Meetings

Members should remember that we are guests of the locations in which our meetings are held. As such, we need to follow host organizations’ policies regarding security and others matters. Those attending meetings should refrain from any actions that will disturb or inconvenience those working in these organizations. This includes the avoidance of behavior that is unwelcome or would be considered harassing in nature. Marketing to host organizations at meetings is not proper. Those attending should make sure that those rooms and equipment utilized are properly taken care of and returned to their original state when finished.

Members should also remember that the purpose of our meetings is to learn in a welcome and enlightening environment. Networking is encouraged for those who want to do so, but excessive or aggressive marketing of services is forbidden.

Members should be conscious of the need to maintain the reputation and good will of the Learning Group. Except as the Coordinating Committee has specifically provided, members should not represent themselves as agents of the Learning Group.

Those who have repeatedly violated this policy will have forfeited their membership in the OD Learning Group, subject to the decision of the Coordinating Committee.

On occasion, meetings may be videotaped. In such cases, we will notify those attending before the meeting and those respect the wishes of those who choose not to appear in the video.

Ground Rules for Program Meetings

Objective: To ensure that we cover all the materials in a quality way in the time allotted

1. We all have different perspectives and experiences.

2. We need to respect each other’s time.

3. Clarifying questions are OK.

4. Other questions and comments should be held until the last segment.

5. Each section of the program needs to be completed in the allotted time so that we do not jeopardize the later sections.

6. A timekeeper will make sure that the program moves smoothly.

7. Questions and follow up discussion can be continued via our blog, newsletter, and web site, as well at After Thoughts.

8. We promote a relaxed and informal atmosphere while being respectful of one another in conduct and language.  

9. Those attending meetings should bring any violations of program meeting standards to the attention of the Coordinating Committee.

10. Repeated violation of program standards is ground for forfeiture of membership, subject to the decision of the Coordinating Committee.

Use of Newsletter, Web Site and Related Information

Members will respect the copyright status of materials provided by Learning Group and its presenters. Learning Group materials on the web site and in the newsletter and meeting handouts are for personal use only and are not to be used for commercial purposes or distribution under another name.

Privacy

The Learning Group will not release information on nonmembers and will not release information on members except as authorized via publication in our web directories. Our mailing list will not be used except for Learning Group newsletters.

Standards for Special Interest Groups and Programs

Each special interest group shall have a liaison to the Coordinating Committee. The liaison can be a Coordinating Committee member or a group coordinator or co-coordinator and shall attend Coordinating Committee meetings.

Special interest participation is open to all Learning Group members. The liaison will be responsible for enrolling new members as indicated.

Coordinators of special interest groups or programs must enrolled in the Member Directory. They should also attend program meetings and Coordinating Committee meetings to report on their activity.

Meetings are to be announced in advance in the newsletter, on the web site, and at program meetings. Meetings may not held on days already listed on the Learning Group calendar.

Each special interest group and program shall have a web page and a web e-mail address. The coordinator or the liaison shall be responsible for ensuring that web page content is updated and that e-mail is answered on a timely basis.

The Coordinating Committee shall approve special group and program formation, provide assistance and support, and ensure that activity is consistent with Learning Group mission and values. The liaison is responsible for keeping the Coordinating Committee informed of special interest group activity and for securing any needed approvals (such as expenditures of Learning Group funds). 

Rules for Second Life Clubhouse

1. Access to the Clubhouse is for ODLG SL members only. Guests are not permitted, but pets are allowed if belonging to an ODLG SL member and well-behaved.

2. The Clubhouse may not be used for sex, drugs, commercial activity or any other purposed deemed improper by the Coordinating Committee. Subject to as provided herein and by the Coordinating Committee, members may use the Clubhouse for informal networking, discussion, or other activity for OD and ODLG-related topics and endeavors, which shall open to all ODLG members. 

3. The Coordinating Committee will maintain a schedule for use of the Clubhouse and reserves the right to change this as needed. If no activity is scheduled, members may informally use the Clubhouse as provided herein.

4. Member may schedule formal sessions, whether discussions, presentations or other meetings on OD topics. Scheduling must be made with at least two weeks’ advance notice to be publicized in the newsletter and on the web site; the individual member convening the meeting is responsible for drafting the notice, sending out a message through the ODLG SL group, and otherwise publicizing and producing the meeting.

5. Use of Clubhouse facilities is open to all ODLG SL group members who have the skill and ability to use them. Members are encouraged to identify and provide other such resources for the benefit of the membership.
